Completing a background check?
This policy covers only our website. It does not cover background screening.
If you have been asked to complete a background check, the organisation carrying it out is a screening company that uses our software. That company — not SymphonX — decides what is checked and is responsible to you for it. Its name and contact details are shown in the portal and in the privacy notice it gave you. A separate statement covers what we do with information submitted through the platform.
1. Who we are
SymphonX, LLC is a Delaware limited liability company at 8 The Green, #21250, Dover, DE 19901, United States. We provide a software platform that background screening companies use to manage screening engagements.
We are not a consumer reporting agency. We do not carry out background checks, do not assemble, verify or evaluate the information in them, and do not make or influence any decision about any individual.

2. What this policy covers
This policy explains what happens to personal information when you visit symphonx.com or get in touch with us through it. For everything described here, SymphonX is the controller — we decide what is collected and why.
3. What we collect
Only two things. We do not ask you to create an account, and there is nothing to sign up for.

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and concluded they are not, because the processing is limited to replying to you and keeping the site working. You can ask us for that assessment, and you can object — see section 8.
4. Cookies and tracking
This site sets no cookies. We use no analytics, no advertising or retargeting pixels, no session recording, and no third-party trackers. Nothing follows you across other websites, and there is no consent banner because there is nothing to consent to.
Server logs are generated by the hosting infrastructure as a normal part of serving a page. They are not cookies and are not used to build a profile of you.
If we ever add analytics, we will update this policy before switching it on.
5. What we do not do
- We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
- We do not add you to a marketing list because you emailed us. If we ever send marketing email, it will be because you asked for it, and every message will let you stop it.
- We do not make automated decisions about you.
- We do not use your enquiry for anything other than answering it.
6. Who we share it with
- The service providers that host this website and carry our email, acting only on our instructions and bound by written contracts.
- Our professional advisers, auditors and insurers, where necessary.
- Law enforcement, regulators or others where we are legally required to disclose, or where we need to establish or defend a legal claim.
That is the whole list. No one buys this data from us, because we do not sell it.
7. Where we hold it, and for how long
The website is hosted in the United States. If you are outside that country and you contact us, your message will be transferred there. Where we move personal data out of the United Kingdom, the European Economic Area, or another country with transfer restrictions, we rely on Standard Contractual Clauses (with the UK International Data Transfer Addendum where the transfer is from the United Kingdom), a copy of which is available on request.

We keep information for longer only where we need it to meet a legal obligation or to defend a legal claim, and only for as long as that reason lasts.
8. Your rights
Depending on where you live, you may have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable form, and to withdraw consent where we rely on consent.
Email hello@symphonx.com and we will respond within one month, or sooner where the law requires. We may need to verify your identity first. Exercising these rights costs nothing, and we will not treat you differently for doing so.
These rights are not absolute. We may need to keep some information to meet a legal obligation, to keep our systems secure, or to defend a legal claim. If that applies, we will explain why.
If your question is about a background check, we cannot help directly — contact the screening company. If you write to us anyway, we will forward your request to them promptly and confirm to you that we have.
9. Complaints
If you are unhappy with how we have handled your information, please tell us first at hello@symphonx.com so we can try to put it right.
You can also complain to a regulator: the Information Commissioner’s Office in the United Kingdom; the supervisory authority where you live or work in the European Economic Area; the Office of the Australian Information Commissioner in Australia; or your state attorney general in the United States.
10. Changes to this policy
We may update this policy. The date at the top shows when it last changed. If we make a significant change to what we collect or why, we will update this page before the change takes effect.
